    The Office Services Coordinator is responsible for oversight of general administrative office activities at the Foxboro Administrative Headquarters Building including the reception area, mail, office supplies and conference room usage and scheduling.

    • High school diploma or GED required.  Post-secondary education, such as an associate’s degree, a bachelor’s degree or a degree from an accredited business school preferred.  
    • Excellent interpersonal, communications and organizational skills with a friendly, pleasant, clear speaking voice and ability to understand and speak English fluently.
    • Three to five years of general office experience preferred; demonstrated ability to provide high-quality customer service to employees and visitors.
    • Working knowledge of the operation, utilization, capacity and limitations of standard office equipment such as copiers, fax machines, telephone systems, postage machines and personal computers.
    • Demonstrated proficiency in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint, and appropriate keyboarding skills to perform routine tasks promptly and accurately.
    • Demonstrated ability to work independently, to manage and resolve conflict and to handle difficult callers or visitors in a professional, tactful manner.

    Responsibilities

    General Statement of Duties:  The Office Services Coordinator is responsible for oversight of general administrative office activities at the Foxboro Administrative Headquarters Building including the reception area, mail, office supplies and conference room usage and scheduling.

     

    Responsibilities: 

    1. Serves as chief receptionist, greets visitors in a professional and courteous manner and properly directs visitors, answers and directs telephone inquiries, ensures the reception area is kept in good order.
    2. Schedules, maintains and sets-up conference and meeting rooms.
    3. Coordinates, compiles and enters data; develops spreadsheets, graphs and reports for teams.  
    4. Orders and maintains general office, kitchen, restroom and housekeeping supplies, following purchasing protocols.
    5. Coordinates general office services such as shipping, delivery and U. S. Mail, in accordance with purchasing policies and budgetary restrictions.
    6. Facilitates implementation of training conducted at the Foxboro office, including preparation of materials, creating certificates as needed, conference/training room set up, and preparation of audio-visual (laptop, LCD projection, screen, etc) technology.
    7. Participates as needed in special projects or events such as Human Rights Committee meetings including coordination of meeting or event space, food and refreshments, audio-visual equipment and other logistical needs. Must be able to set up and attend occasional evening meetings as necessary.
    8. Coordinates building access for all meetings before and after normal office hours, and provides Administration Building staff and other, as appropriate, with information regarding building access and security codes.
    9. Performs other work related duties as instructed by supervisor.

    Qualifications

    • High school diploma or GED required. Post-secondary education, such as an associate’s degree, a bachelor’s degree or a degree from an accredited business school preferred.  Up to two years of post-secondary education may be substituted for work experience.
    • Excellent interpersonal, communications and organizational skills with a friendly, pleasant, clear speaking voice and ability to understand and speak English fluently.
    • Three to five years of general office experience preferred; demonstrated ability to provide high-quality customer service to employees and visitors.
    • Working knowledge of the operation, utilization, capacity and limitations of standard office equipment such as copiers, fax machines, telephone systems, postage machines and personal computers, and basic office services, such as office supply vendors, shipping and delivery services and the U. S. Mail.
    • Neat and professional appearance and manner.
    • Demonstrated proficiency in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint, and appropriate keyboarding skills to perform routine tasks promptly and accurately.
    • Demonstrated ability to work independently, to manage and resolve conflict and to handle difficult callers or visitors in a professional, tactful manner.
    • Ability to stand and/or sit for extended periods and to lift up to 20 pounds from floor level to approximately three feet above floor level.
    • Manual dexterity and visual acuity to promptly and effectively complete keyboarding tasks on a personal computer, and to effectively use the telephone system and other office equipment.
